Retail replenishment and distribution-centre deliveries

Retail & Consumer — VEXO Logistics

Retail replenishment and distribution-centre deliveries

Retail logistics is shaped by purchase orders, receiving rules, promotional calendars and product availability. The transport plan needs to account for the retailer’s specific requirements as well as the cargo. An arrival at the destination gate may not count as an accepted delivery if the appointment, reference or packaging is incorrect.

Freight profile and shipment information

Common freight includes palletised consumer goods, store fixtures, seasonal stock and promotional displays. Supply order numbers, SKU or carton references as required, unit counts, pallet sizes and weight. Explain whether goods can be stacked and whether deliveries are to a distribution centre, store, mall or other limited-access location.

What to prepare before booking

Send the current routing instructions and receiving requirements before quoting. Include appointment references, labelling, pallet standards, unloading expectations and any booking portal process assigned to the shipper. Identify store access restrictions, liftgate or inside-delivery needs and whether a delivery team must contact a manager before arrival.

How VEXO coordinates the movement

VEXO’s coordination links the accepted pickup and receiving windows with the selected provider. Confirm which party obtains appointments and what evidence is needed for delivery. A promotional programme should identify order priorities and how volume changes will be communicated. A retailer’s requested date is not an automatic carrier guarantee or an agreement to reimburse every retail penalty.

Shipper, carrier and receiver responsibilities

The shipping location prepares compliant labels and packaging and supplies the correct references. The carrier follows the accepted access and appointment instructions and reports a rejected check-in promptly. The receiving party should record piece counts and exceptions. Services such as shelf placement, unpacking, fixture installation or removal of packaging require separate acceptance.

When plans change or issues arise

A wrong order number, pallet issue or missed appointment can cause waiting, refusal or redelivery. Send the rejection reason and the receiving contact to dispatch so a revised plan can be agreed. Preserve appointment confirmations, arrival times and delivery receipts when investigating a deduction. Chargeback handling depends on the accepted agreement and the supporting facts.

Build a repeatable shipping programme

For ongoing work, share your primary lanes, expected weekly volume, peak periods and the requirements that vary by location. Identify an operations contact and an alternative decision-maker for time-sensitive changes. A useful programme records equipment expectations, receiving windows, documentation and escalation arrangements for each lane.

Before each tender, confirm the current cargo, timing and site instructions. A previous successful delivery does not mean that a changed product, facility or handling requirement has already been accepted. Review new requirements with the coordinator before the freight is released.

Agree how performance will be discussed: pickup and delivery outcomes, avoidable waiting, recurring paperwork issues and supported billing discrepancies are practical starting points. Any reporting format or review schedule should be agreed for your account rather than assumed from a website description.

Delivery records and follow-through

Retain the accepted quote, shipment instructions, transport document and delivery receipt. Record visible shortages or damage accurately, preserve photographs and packaging where relevant, and report the issue promptly with the shipment reference. A receipt notation is useful evidence but does not replace presenting a claim through the applicable process.

Waiting, additional handling, changed destinations and redelivery should be supported by the relevant dates, times, receipts and instructions. Send these with the shipment reference so the parties can reconcile the charge against the accepted scope. Questions about product quality or suitability should go to the responsible product specialist.

Start the conversation

Use the quote form for your route, cargo and timing requirements, or speak with a specialist about a recurring programme. Include the industry-specific details above so the team can assess equipment and provider fit. Services, special handling and timing commitments are confirmed for the actual shipment before booking.
